For medspas & dental clinics

Consults that never booked, followed up. You pay per held appointment.

Your consult chair produced a list of people who came in, heard the plan, and were never contacted again. SecondTouch runs a compliant follow-up campaign on that list and books qualified appointments back onto your calendar — $100 per held appointment, no setup fee, no retainer to start. If nobody shows, you pay nothing.

Free · no card required · held = they showed and stayed 10+ minutes

Med-spa no-show rates run 15–25% without reminders and 8–12% with them. Booked is not the finish line — held is. That is why this service bills on held, and why the reminder flow is built into every booking. (ScaleHaven, 2026.)

The situation

“Let me think about it” was the last contact

She sat in your consult chair, nodded through the treatment plan, said she needed to think about it — and nobody from your clinic ever followed up. Not once. Dental sees the same shape: the treatment plan presented, the patient who meant to schedule, the file that quietly goes dormant.

Your front desk is not lazy; it is busy, and follow-up on old consults is nobody’s job description. Meanwhile the response math has not moved in fifteen years: average first response is still 42 hours (Harvard Business Review, 2011; RevenueLeaks, 2026), and an unbooked consult list just keeps aging toward the 24-month line where it stops being usable at all.

The reminder lever

SMS reminder flows are the documented difference between a booked consult and a held one: med-spa no-shows 15–25% → 8–12% with reminders (ScaleHaven, 2026); dental no-show rates commonly 8–18% (2026 industry reporting). Every booking here carries the 48h / 24h / 2h cadence.

Privacy handled at intake

Clinic lists can be protected health information. If a BAA is required before a list moves, it is signed at intake — before anything is touched — alongside the consent-warranty clause. Campaigns send under your clinic’s own identity and registration.

Priced on the held side

Category pricing for qualified appointments runs $50–$500 (Belkins, 2026), usually billed on booking. Ours is $100, billed only when the patient actually shows and stays — with a free re-book when they don’t.

How it works

Built around the chair: book it, then hold it

1

Paperwork and the gate — days 0–2

Agreement first: consent-warranty clause, BAA where your clinic requires one, consent/relationship evidence reviewed, uncertain segments set email-first. 300+ contacts, last interaction within 24 months. A2P registration under your clinic’s EIN before any text.

2

The sequence — days 1–14

Four to six touches over 10–14 days, written as your clinic’s front desk — because it sends as your clinic. The first message names their actual consult. Email first; texts on documented consent or engagement only; 8am–8pm their local time.

3

Replies in under a minute, booked to your calendar

An AI assistant answers in under 60 seconds, 24/7, qualifies against the five-point definition, and books into your real calendar. A human reviews every qualification before it can bill. The assistant never claims to be human when asked directly.

4

Reminders turn booked into held

48-hour, 24-hour, and 2-hour reminders with a confirm reply. A no-show triggers free re-booking attempts inside 5 business days. Weekly one-pager: consults touched, replies, bookings, held appointments, and the invoice preview with its evidence packs.

The checkable details

Runs on: GoHighLevel with the Meta Muse connector, under your clinic’s sender identity and A2P registration.

Timelines: gate days 0–2; setup days 1–3; sequence 10–14 days; first bookings typically 48–72 hours after launch — typical, not guaranteed.

Limits: 300+ contacts; under 24 months since last interaction; consent evidence or email-first mandatory; working calendar and a clinician who takes the appointments required.

What we are not: not a marketing agency, not a lead seller, and not legal advice. We never make pricing or medical promises to your patients — the assistant works only inside your approved ranges and tone.

What we never do

  • Touch a patient list before the agreement and any required BAA are signed
  • Text a contact without documented consent naming your clinic, or an engaged reply
  • Run a bought, scraped, or appended list
  • Bill an appointment that was booked but not held
  • Promise a number of bookings, patients, or revenue

Pricing

$100 when they sit down in the chair. $0 when they don’t.

Medspas and dental are Tier 2: $100 per held appointment. Home services pay $150 per held meeting; other local services $75 — same gate, same definitions, same evidence. Invoices come through Stripe, net-7, after the appointment has held.

No-show = not billable

Plus free re-booking: three attempts within 5 business days. Unrebookable lines come off the invoice permanently.

Reply to the invoice email or write to chiticohq+secondtouch@zohomail.com. Resolved within 5 business days; a line that fails the definitions is credited or replaced.

Nothing to cancel

No setup fee, no retainer, no term. The optional month 2–3 retainer ($500–$2,000/mo by volume) is month-to-month, cancel anytime.

FAQ

What clinic owners ask first

Patient lists are protected health information. How does that work?

Carefully, and on paper first. Dental clinics are usually HIPAA-covered, and some medspas are too — which is why the paperwork phase exists: if your clinic needs a business associate agreement before any list leaves your system, that is part of intake, and nothing is touched before the agreement (including the consent-warranty clause) is signed. Campaigns run under your clinic’s own sender identity and A2P registration, and qualification transcripts are kept as your evidence records.

What counts as a held appointment at a clinic?

The published definition: a qualified booking — a real need matching your services, the decision-maker, a real slot of 15+ minutes, not an existing patient already in active pipeline, verified contact details — that is held when the patient shows and stays at least 10 minutes. A booked consult that no-shows is not billable; we try to re-book it free within 5 business days.

Our no-show rate is the real problem, not new patients.

That is exactly the lever this is priced on. Reminder sequences are the difference between booked and held: published 2026 figures put med-spa no-show rates at 15–25% without reminders and 8–12% with SMS reminders (ScaleHaven, 2026), with dental commonly reported at 8–18%. The 48h / 24h / 2h reminder cadence runs on every booking we make — and you only ever pay for the held side of that math.

Will patients feel spammed?

The sequence is built to feel like your front desk, because it sends as your clinic. Email first; texts only with documented consent or after engagement; the first message references their actual consult or inquiry; sends stay inside 8am–8pm their local time; opt-outs are honored the same day and suppressed permanently. Four to six touches over two weeks, then the list rests for 90 days.

Our consults are from two or three years ago.

The line is 24 months since last interaction, and it is firm — beyond that, consent evidence gets unreliable and we will say so at the audit rather than run it. Inside 24 months, an unbooked consult list is the most workable list a clinic has: real need, real visit, real relationship to point back to.

Why is it $100 here when home services pay $150?

The tiers follow the market for a qualified appointment in each vertical: home services at $150, medspas and dental at $100, general local services at $75 — all in the lower half of the $50–$500 per-appointment band reported for this category (Belkins, 2026), and ours bills only when the appointment holds, where the category typically bills on booking. Same gate, same definitions, same evidence at every tier.

The consult already happened. The follow-up didn’t.

The free Dead List Audit applies the published benchmark math to your actual list — one page, your numbers, no card. If it can’t be worked compliantly, the audit says that too.
